All the below information is automatic once you have stated in the customer profile what format is required by each company. If no format is selected, then the system automatically assumes that the format is the standard AAR Type Format. When entering a Quote or Billing Repair Card, the system will look up the company initials that you select as the company to bill to determine which format to use and how to present it.
When creating a data exchange file, the system will automatically look up the company that you are creating the data exchange file for. If you have not selected the proper format for that company, then the system will inform you and ask if you want to use the proper format.
TTX Company has an extended 500 Byte Data Exchange Format. Our
software has been tested and approved by TTX Company as being compliant with this new format. Some examples of this
new format, which includes added information on billing repair cards, are as follows:
1. TTX requires a subset of the detail source codes with additional detail source codes.
2. Requires a unique work order number for each detail source code
3. Each line has a line number that stays with that line once an estimate is sent for approval. Any new repairs after the approval have the next highest line number, even if that item is inserted on the billing repair card. If a line is deleted, than that line number cannot appear again!
4. There is a new field for TTX only for either Revised or Corrected billing repair card.
5. Corrected is for invoice modifications and Revised is for Billing Repair Cards or Quotes modifications
6. Quote data exchange files must be for single cars only!
7. Invoice data exchange files can have multiple cars
The Union Pacific Railroad new format, UP-CEI Format (Contractor Estimate/Invoice) is similar to the TTX format with some minor differences. Estimates as an example must show a type 6,8 and 9 record after each car, however invoices can have multiple cars but with only one invoice type 6, invoice type 8 and a type 9 record for each accounting period. Estimate must start with an E for each detail line while invoices start with a 1. Line numbering is the same as the TTX format above. This format should not be used unless the Union Pacific Railroad specifically requires a shop to use it. This format has been approved as being compliant by the Union Pacific Railroad.
GE Capital Railcar Services has an extended 500 Byte Data Exchange Format. As in TTX, our software has been approved as GE Capital Railcar Services compliant. Some examples of this new format, which includes added information on billing repair cards, are as follows; 1. GE requires that each line in an estimate only is designated as an estimate or a supplemental. 2. The Approval Number or Supplemental Approval Number must be included. 3. The extended 500 Byte Data Exchange file for estimates cannot have any summary records, which includes Type 6, 8 and 9. 4. If the file is an estimate or a supplemental estimate, then the letter E or S must be in all entries. 5. The PO Number, if any, must be present only when invoicing. 6. The Approval Number must be present only when invoicing. 7. The Supplemental Approval Number must be present only when invoicing.
GATX has an extended 500 Byte Data Exchange Format. The main
requirements are;
1. Billed party must equal GATX
2. Invoice Number must be blank on estimated repair bills, but
required on final billing.
3. Repair Date must be filled with zeroes for estimates but required for final invoices.
4. Repairing Party Invoice Number must be blank on estimated repairs bills but required on final repair bills.
5. Mobile Repairs must show the Repair Facility Arrival Date with all zeros, if not mobile repair, then the
Arrival Date must be present. There are a few other items, but these are the main point.
The BNSF CSI System requires a four digit (Program Code) to be entered in the PO Number entry of the brc or quote screen. The first line of the data exchange file must start with the number 0. The CSI system will then be able to recognize the program number and attribute the rest of the 1 records to the program indicated.
