From the equipment file, which maintains all the information on each car, you can view a drawing of the car, view a summary of the maintenance performed on the car within the last 360 days. The last air brake test date, last wheel change date all appear at the push of a button. The age of the car and a description of the AAR car type code is a push button away. The car file can maintain any betterments to a car showing the cost and date of installation. This can be used in the depreciated value program. There is also a field for aluminum weight as well as steel or tare weight. Every facet of this program was designed with Y2K in mind. There is a feature called EPOCH, which allows you to set a date, the default date is 1930. This means that if you where to enter 2 digits of 29 or less in any date field, instead of 4, then 20 would appear in front of the 2 digits. If you enter 2 digits of 30 or more, then 19 would appear in front of the digits. Of course you could enter all four digits is you would like!

The system will import repair data from the data exchange files and automatically convert everything to 4 digit years, this includes the Account Year/Month of the invoices. Once your data has been converted you can view the data in invoice order and with a push of a button view the detail of that invoice. Audits are now completely in your control. You can create, edit, or delete audits using templates or free hand. You can even tell the system not to audit specific companies. A list of errors can be viewed, showing the error message or the details of the repairs. If you determine that the repair is not an error, you can delete it from the list. The system will even write the exception letter for you showing the address at the top of the page.

Other features include a shopping screen which keeps track of turnaround times and much more. There is also a shopping assistant which will assit you in finding the right shop for you to use. You can create depreciated value statements, exception letters, view the data or structure of any database file. Create your own categories of repairs for summarizing reports, assign categories to job codes and/or qualifiers. Enter a person in the rolodex file showing what the person is responsible for, (This is used in linking information to other programs).

The system comes with a user job code file for special items that you may want to keep track of. You can assign control numbers and sub-control numbers to a car or a group of cars. The control number can be used for tracking groups of cars, such as lease numbers or whatever you would like. There is even a field for Lot Numbers. Future upgrades will include rebuttal billing, creating invoices, billing repair cards, and log sheets summarizing the rebuttal billing. You will be able to set your own criteria for what is to be re-billed. Example: Control Number is a full service lease for box cars and the owner or lessee is responsible for all door repairs, except defect card repairs. The system would flag each line of repair that you indicate as a door repair then copies it to a rebuttal file for billing once per month.

BENCH MARK TEST


We tested the system on a laptop with a 486CPU using Windows 3.11 running at 75mhz. We imported just over 50,000 repair records and some 15,000 rail cars. We then went to the equipment file and then to the maintenance section and pressed the button for a summary of all the maintenance on a car. In one second the historical data appeared. We then went to the report setup screen and asked for a subset file based on 10 cars. All data from the history file, pre-audit file, suspense file, and the pre-history file was extracted on those 10 cars in 7 seconds.
