DATA EXCHANGE

Those who participate in submitting records to Railinc's Data Exchange should carefully review the latest version of the Car Repair Billing Procedures Manual.

If any mandatory reject errors are found in the record format or record balancing submitted to Railinc, the entire file will be rejected for correction. In addition, if any invoice records are found to contain mandoatory eject errors, the invoice will be rejected for correction and will not be processed through Railinc's Data Exchange. According to AAR Office Manual Rule 112.H.2., your Data Exchange File will be invalid and this may delay the payment of invoices. Rule 113.1.a. states: "The billing party must present data in the required format before an invoice will be considered as properly rendered and processed for payment." All new mandatory reject error messages will be included in the Inbound Data Exchange Log Report PDF that is currently emailed to submitters today.

RailTech Software Systems has performed a test of our data with Railinc. We submitted about 6,000 records from a company that has 4 entities, 3 of which are assigned to a running repair agent code, with the other as a contract shop. The invoices were to various companies throughout the U.S., Canada and Mexico with two invoices showing as being resubmitted from the previous month. Railinc uploaded the data and performed an audit using the new 2010 format audit check. We are very pleased to announce that our data came through with no errors, and is therefore compliant with the new 2010 Data Exchange Format.
